AI vs. a live answering service: decide what needs a person

Compare staffing models by exceptions, handoff and responsibility.

Begin with exceptions, not the greeting

List the calls your office finds difficult: a disputed invoice, a frustrated repeat caller, an unclear service request, a schedule change affecting two crews. Decide which require an employee, which can follow a written procedure, and which should only create a callback task.

AI answering, a staffed service, and AI with human backup are operating choices. None guarantees a correct outcome merely because a call was answered. The useful comparison is who takes responsibility when the procedure no longer fits.

Ask who actually receives the handoff

A product may transfer to your own on-call number. Another may supply an agent employed by the answering service. Those solve different problems: if your technician cannot answer, transferring to that technician has not created coverage.

Smith.ai describes AI backed by live agents. That is a reason to ask about its handoff process, not proof that every caller or task is covered by your selected plan. Establish eligibility, availability, permissions and billing during the demo.

Pilot the difficult calls too

Start with a limited routing window. Review wrong bookings, failed transfers and unresolved callbacks alongside answer rate. If your staff spend longer repairing records than they save handling calls, a high answer rate is not enough to justify expansion.

Compare the total cost using the quote worksheet. Keep a documented return to the old call route until the new process has demonstrated reliable coverage.
