AI receptionist integrations: a calendar link is not a booked job

Verify the exact record, permissions and failure path behind an integration claim.

Define the record you need

Before asking whether a tool integrates with your scheduling software, write down what the call should produce. A contact, a calendar event, an estimate request and a dispatchable job are different records. Your office may still need to turn one into another.

For each job type, list required fields: customer, service address, territory, duration, skill requirement and booking status. Mark which fields the caller supplies and which must come from your system. Avoid asking an agent to infer a technician’s eligibility from a vague service description.

Walk through a complete booking

Use a test contact to book a slot, change its time, then cancel it. Inspect both systems after every step. Repeat with a duplicate contact and a full calendar. An integration logo on a website does not demonstrate these behaviors.

Ask whether the connection is native, built through another automation service, or custom. That affects who receives the alert when credentials expire, a field changes or a third-party subscription stops.

Assign an owner before launch

Give the connection only the permissions required for its task. Use a business-owned account, record who can repair it and keep the old process available during the pilot. Schedule a review after changes to your booking rules.
